Responsibilities:

  • Data Management (Clients Info)
    • Inputting clients’ info and uploading relevant supporting documents in internal & external databases
    • Ensuring the clients’ info inputted in the databases are accurate and up-to-date
    • Data-mining for reports when required
  • Administration of Programme
    • Scheduling Appointments
    • Preparing and sending relevant documents to clients
    • Scanning, photocopying and filing the documents in respective files
    • Collating training registers
    • Administering training allowance
    • Coordinating and administer financial subsidy cases
  • Finance Matters
    • Issuing & mailing invoices to clients & external parties
    • Collection of Fee Payments
    • Inputting Receipts in accounting system
    • Following up on overdue invoices
    • Submitting payment vouchers for vendor invoices
  • Office Administrative
    •  Managing department’s stationery needs
    • Placing orders for brochures, ARC letterheads & envelopes when the stocks run low
    • Managing the meeting rooms booking system
    • Maintaining cleanliness & tidiness of the office, pantry & meeting rooms
    • Raising payment vouchers for vendor invoices
    • Maintaining the tracking of worksite keys records & IT equipment
  • Reception
    • Reception duties
    • Handling phone and walk-in enquiries
  • Other Admin matters
    • Doing any ad-hoc duties as and when required by the team
    • Supporting events where necessary

Requirements:

  • Minimum ‘O’ Levels / ITE / NITEC certificate
  • 1 to 3 years of relevant work experience in related administrative fields
  • Strong organisational skills with strong detail orientation
  • Strong verbal and written communication skills in English
  • Ability to work in a fast paced, dynamic and challenging work environment
  • Desire to learn about Autism and the passion to help special needs students
  • Proficiency in Microsoft Office applications
